To help streamline the work involved in organising an EFACIS conference the EFACIS Steering Committee suggests that organisers consider the following guidelines:
Conference theme
Proposals for the conference theme to be drafted by the organiser/organising team should be consulted with the EFACIS Steering Committee and agreed upon by the organiser and the Committee. Preferably the theme is announced at the AGM of the previous conference; if that is not possible the theme should be agreed on by email 1,5 years before the conference.
The agreed conference theme and call for papers should be posted on the EFACIS website 12 months before the planned conference, either directly or through the Secretary. The Steering Committee will also provide the conference organiser with a list of journals and websites through which the CFP may be disseminated.
Timing
The deadlines for a first and second CFP will be agreed on by the organiser and the Steering Committee. Quick acknowledgement of receipt of abstract is advisable, indicating the specific time when potential participants will get a letter of acceptance (or regret).
Infrastructure
The Steering Committee could draw up a list of basic facilities usually called for in EFACIS conferences.
Keynote speakers
The organisers will select keynote speakers in consultation with the Steering Committee.
Papers
The usual length for EFACIS conference papers is a 20-minute delivery.
The average EFACIS conference is 2 or 3 days. The ideal size seems to be a maximum of three parallel sessions, but this must be left to the organising team's possibilities and specific context.
Selection of papers is the responsibility of the organising team (academic committee); organisers are encouraged to include other formats of presentation (discussion forums, workshops, visual presentations, poster sessions, etc).
Language
The language of conference presentations will normally be English. However, other languages can be used if simultaneous translation is provided.
Publication
Guidelines regarding the publication of selected conference proceedings, deadlines, etc. should be agreed between the conference organisers and the EFACIS Steering Committee, and announced both at the conference and posted on the website.
